The Competence Center E-Akte.NRW provides central support to universities in the state of North Rhine-Westphalia in introducing and implementing digital record keeping. A central service is the operation of a multi-tenant document management system (DMS) based on d.documents, jointly managed by the Universities of Duisburg-Essen and Cologne. This system serves as a central platform on which universities can manage their electronic records—whether for students, staff, or third-party funded projects. It is redundantly structured, ensuring data availability and security, and is available as a test, training, and development environment. This allows universities to trial the system prior to their own implementation, conduct training sessions, and test new processes without risking their own IT infrastructure. The added value of this service lies in the shared use of resources and the reduction of duplicated efforts. Instead of each university building its own DMS, they can leverage a centrally developed, high-quality solution.
